Describe the work someone can recognize.

A line description should help the recipient connect a charge to work they agreed to buy.

01

Start with the evidence

Start with the agreed deliverable, its scope and the relevant service period. Separate the description of the work from an internal project nickname that the recipient may never have seen.

02

Work through the example

Two discovery workshops at USD400 each give a line amount of USD800 before any other applicable items. “Consulting” alone hides the quantity and makes the amount harder to check against the agreement.

03

Make the next step clear

Read the description as someone outside your team would. Remove unexplained shorthand, keep a link to the scope and ask the project owner about changes. Do not add work merely because a template contains an extra line.

04

Keep the source context

Treat an invoice draft as a description of an agreed business event. Keep the source agreement nearby and distinguish document preparation from approval, sending and receiving payment. These are separate steps even when they happen close together.
