Start with the evidence
Identify the document, line and question in the customer’s message. Preserve their wording and separate the amount under discussion from any part of the invoice they have not questioned.
Work through the example
A customer disputes two hours on an eight-hour example line. The useful review question concerns those two hours and the supporting work record, not an unexplained change from eight hours to six in the document.
Make the next step clear
Assign the question to the person who can verify the work. Retain the response and approval before making any correction. A query note should preserve uncertainty rather than present the customer’s suggestion as an established fact.
Keep the source context
An invoice record and a customer conversation provide different evidence. Keep original document references stable while adding dated notes about replies and related payments. These guides concern clear administration, not collection tactics or promises of automated money movement.
