Start with the evidence
Collect both records and check the claimant, amount, currency and source reference. A copied receipt attached to several requests should trigger a review of whether the same event is being claimed twice.
Work through the example
A purchaser submits a USD72 receipt with a USD72 request. Matching the amounts is useful, but the reviewer still needs the business purpose and evidence that this is the appropriate claimant.
Make the next step clear
Keep approval and any later repayment evidence separate from submission. A complete request is not automatically approved or paid. Record the next step accurately without implying money has moved.
Keep the source context
These guides concern the evidence behind a business record. A receipt, a reimbursement request and a bank movement may describe related parts of one event, but they are not interchangeable documents. Keep each source and its role visible.
